Location: Providence Rhode Island

Description: University Surgical Associates, Inc. is employing Assistant Office Manager right now, this position will be placed in Rhode Island. Seeking eligible candidates to f unction as the assistant clinical office manager with primary accountability to the Clinical Practice Manager and to the President. ! Primary duty is to facilitate the equable flow of all patient care in the Medical Office Center. Supervises all MOC support staff to ensure maximum standards in the daily operations of clinical sessions are met.. Thorough knowledge of OSHA standards & regulations and third party billing guidelines is essential. Expert handling of all patient issues and patient confidentiality are mandatory. Essential functions of this position include:

  • Planning, directing and coordinating functions of the Medical Office Center staff.
  • Interviews, trains and supervises staff.
  • Organizes, prioritizes, and assigns duties to MOC office support staff.
  • Maintain and assigns exam room clinical schedule. Ensure proper nursing coverage is allocated throughout MOC! .
  • Processes payroll on a biweekly basis. Approves sch! eduled flex time in accordance with USA policy and procedure.
  • Creates monthly office schedule to ensure proper coverage is in place.
  • Assists, conducts and provides input for evaluations and performance reviews.
  • Coordinates the orientation of all new clinical office support staff to include secretarial training & HIPAA, OSHA training.
  • Acts as a liaison between various layers of USA infrastructure regarding personnel issues.
  • Oversees and approves ordering of all supplies and equipment in the clinical office.
  • Coordinates with vendors the installation, maintenance, moving and repair of equipment and other clinical office-related problems.
  • Maintain accurate signs for the MOC office.
  • Ensures the smooth and effective operation with regards to patient care and billing issues.
  • Coordinates with the various cleaning services to maintain the condition of the clinical offices including the removal of hazard! ous waste.
  • Acts as a liaison with the administrative director to coordinate information exchange.
  • Coordinates between USA and other departments of Lifespan to initiate services and resolve problems for the clinical offices.
  • Recommends and implements decisions to alleviate potential or existing problems in the clinical office.
  • Develops strategies for containing/allocating costs in the clinical offices and implements these strategies.
  • Performs other duties as assigned by the Clinical Practice Manager or as the position requires.
